How the Client Intake Process Works
The Client Intake Journey
Understanding what your clients experience helps you support them and set expectations.
Step 1: Ticket Upload
Clients upload a photo or scan of their traffic ticket. Our system:
- Extracts key information (citation number, violation code, date, etc.)
- Identifies the violation type
- Verifies eligibility for Trial by Written Declaration
Step 2: Incident Questions
Clients answer guided questions about what happened:
- Location and road conditions
- Weather and visibility
- Their recollection of events
- Any circumstances the officer may not have observed
Step 3: Evidence Upload
Clients can upload supporting evidence:
- Photos of the location
- Dashcam screenshots
- Google Street View images
- Any other relevant documentation
Step 4: Witness Information
If the client had witnesses, they can:
- Add witness contact information
- Include witness statements
- Upload signed witness declarations
Step 5: Review & Submit
Clients review their information and submit for your review. At this point:
- The AI generates a draft defense statement
- You receive a notification that a new case is ready for review
- The case appears in your "Pending Review" queue
Client Progress Tracking
From your dashboard, you can see which step each client is on. Clients who haven't completed intake within a reasonable time can be followed up with separately.
